MILLRISE COMMUNITY ASSOCIATION

DIRECTOR’S ROLES AND RESPONSIBILITIES

PRESIDENT

The president shall:

  • Be responsible for the overall operations of the association
  • Act as Chairman at general and board meetings
  • Represent the association in dealing with governments, businesses, organizations and residents
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

VICE-PRESIDENT

The Vice-President shall:

  • Act as President’s right-hand person
  • Assume duties of the President during his/her absence
  • Share duties with the President as may be required
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

PAST PRESIDENT

The Past President shall:

  • Provide assistance, advise and give background information to the Board based on past experience
  • Help to complete previous projects
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

SECRETARY

The Secretary shall:

  • Record minutes of all association meetings
  • Keep records of important correspondence and documents
  • Prepare the agendas for all meetings
  • Prepare and send out correspondence as required
  • Organize the annual General Meeting ensuring all board members prepare reports
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the associationBe keeper of the Seal of the Society

TREASURER

The Treasurer shall:

  • Record financial transactions of the association
  • Prepare financial statementsIssue cheques
  • Prepare income tax and all necessary returnsArrange for annual auditing of the books
  • Report monthly to the board of directors
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

 

 MEMBERSHIP DIRECTOR

Membership in the Community Association is a vital part of community growth.  Membership fees provide an essential element in the maintenance and continuing operation of the community and its facilities.

The Membership Director shall:

  • Maintain an up to date registry of the Association’s members
  • Organize annual membership drives for new members as well as the renewal of existing members
  • Develop plans for recruiting newcomers to the community
  • Encourage participation in community activities
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

 

VOLUNTEER DIRECTOR

The Volunteer Director plays and essential role in the managing of tasks in the Community Association.  All activities of the community are supported by volunteer teams and without these teams the Association would cease to function.

The Volunteer Director shall:

  • Maintain and update a consolidated list of volunteers for all activities
  • Appoint volunteer coordinators to assist in the organization of volunteer teams
  • Mobilize the network for any event
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

 

COMMUNITY AFFAIRS DIRECTOR

Development in Millrise and the neighboring communities is placing increasing pressure on the infrastructure and neighborhood facilities.  This interaction affects all aspects of life in the community.

The Community Affairs Director shall:

  • Liaise with the City of Calgary, developers, neighboring communities and others as required in issues of concern to the community
  • Represent the interests of the community in meetings with City planners, developers and other planning sessions and presentations
  • Report to the Executive Committee of the Millrise Community Association on a regular basis
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to hae someone represent you at the meeting
  • Actively participate in events and activities planned by the association

PUBLIC RELATIONS DIRECTOR

 

The promotion of the Association is an essential part in the building of a strong and effective community and in the developing of programs for the benefit of the residents.

The Public Relations Director shall:

  • Be responsible for communications with the media and the dissemination of information of interest to the community
  • Establish a program for the publicizing and advertising of the Millrise Community Association
  • Shall set up budgets and control expenditures in relation to those budgets
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

NEWSLETTER EDITOR

The Newsletter Editor shall:

  • Act as liaison between internal and external groups and the newsletter publisher.
  • Submit a monthly article for the newsletter
  • Encourage all members of the board to submit reports for the newsletter
  • Encourage community members to submit articles for the newsletter
  • Coordinate the compilation, production and distribution of the community newsletter
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

  

SPORTS DIRECTOR

 

The Sports Director shall:

  • Coordinate sporting activities as required for the community
  • Represent the community in area sporting matters
  • Liaise with the City o Calgary Parks and Recreation Department
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

LIFESTYLES DIRECTOR

The Lifestyles Director shall:

  • Liaise with the City of Calgary Parks and Recreation DepartmentCoordinate healthy recreational activities for the community’s residents
  • Represent the community in area recreational mattersCoordinate special programs and events
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

BINGO DIRECTOR

Bingo is a key element in Community funding and is the main source of funds for any future development.  The Bingo Director is a key member of the community executive team who organizes and supervises the Bingo program.

The Bingo Director shall:

  • Represent the community in meetings with the Gaming Commission, the South East Calgary Bingo Association and with bingo hall owners and other community bingo associations
  • Arrange, in conjunction with the Bongo Volunteer Coordinator, to provide a team of volunteers for each bingo
  • Make applications, when necessary, for the bingo license
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

BINGO VOLUNTEER COORDINATOR

This position provides an essential function in the support of the Bingo Director and in the fund raising activities of the community provides by Bingo.

The Bingo Volunteer Coordinator under the direction of the Bingo Director shall:

  • Use the list of volunteers provided to set up teams for each bingo
  • Assist the Bingo Director in other duties as may be requiredMay represent the community at meeting in the absence of the Bingo Director
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

FACILITIES DIRECTOR

 

Facilities of the Millrise Community Association include an ice rink for hockey and a recreational skating oval supported by a garage and a storage shed.  The community owns a zamboni and miscellaneous yard equipment.

The Facilities Director shall:

  • Be responsible for organizing, with the help of volunteers, the maintenance of all the facilities, including professional assistance as may be required
  • Set up and monitor budgets for the repair and maintenance of the facility
  • Ensure that all equipment is in safe working condition and arrange for any necessary repairs
  • Work with the Planning Director and the Executive Committee in the planning of any future developments on the Millrise Community Association site
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

DEVELOPMENT AND BUILDING DIRECTOR

The Millrise Community Association is very conscious of the need to expand and develop the facilities to meet the expectations of all members of the community.

The Development and Building Director shall:

  • Head up the subcommittee already in place to study and implement the future plans
  • Liaise with the City of Calgary Parks and Recreation Department, architects, planners and engineers
  • Work with the assistance of a Project Manager
  • Establish budgets for each phase of the work with the assistance of the Treasurer and Grants Director for approval by the Executive Committee
  • Will have the assistance of other committee members as may be required
  • Will report to the President in respect to status of all projects and expenditures
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association  

FUNDING DIRECTOR

Funding for all development of the community is provided by income from Bingos, Casinos, fundraising events and by grants provided by the Province and other bodies.  Grants are given for special projects and are in the form of matching funds in relation to those already raised by the community.

The Funding Director shall:

  • Be responsible for researching and investigating possible sources of grants
  • Assembling information and preparing applications for funds
  • Liaising with the grant authorities in the provision and monitoring of these funds
  • Work closely with the Planning Director and with the Treasurer in the preparation of all grants for application
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

TEEN LIAISON

The Teen Liaison shall:

  • Provide feedback to the directors on teen programming
  • Assist the board as may be requiredLiaise between the board and the teen community
  • Help to develop and implement teen programming
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

SENIOR LIAISON

 

The Senior Liaison shall:

  • Provide feedback to the directors on senior programming
  • Assist the board as requiredLiaise between the board and the senior community
  • Help develop and implement senior programming
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

CASINO DIRECTOR

The Casino is a key element in Community funding and is the main source of funds for any future development.  The Casino Director is a key member of the community executive team who organizes and supervises this program.

The Casino Director shall:

  • Represent the community association at any relevant external meetings
  • Coordinate all necessary paperwork for the annual casino
  • Source, organize and schedule all volunteers
  • Report monthly to the board of directors on the progress of the planning process
  • Establish guidelines to be followed for future casinos
  • Work closely with the board to ensure a successful casino
  • This position will be extremely busy three – four months preceding the casino date and will be fairly routine the remainder of the year.  Please be prepared to put in more hours when required
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting
  • Actively participate in events and activities planned by the association

PLANNING DIRECTOR

The Millrise Community Association is very conscious of the need to expand and develop the facilities to meet the expectations of all members of the community.

WEBMASTER

 

The Webmaster shall:

  • Create and maintain the community association website
  • Liaise with external organizations as required regarding the website
  • Regularly report to the board about any major changes or issues regarding the website
  • Actively participate in events and activities planned by the association
  • Attend all monthly board meetings.  If you are unable to attend, arrangements should be made to have someone represent you at the meeting

  

DIRECTOR AT LARGE

The effectiveness of the community association in the achievement of its objectives and the growth of the Millrise Community depend on the ability of the Board of Directors to work effectively.  Efficient working of the board requires the participation of all active directors, particularly the Directors at Large.  They are needed to assist with special programs.  From time to time issues or programs may arise which require specific attention and these are supported by the Directors at Large.  For example, the task of revising the by-laws was undertaken recently by a Director at Large.  This job is not specifically assigned to any Director but is essential in the operation of our organization.

Newsflash

Do you love cold weather and clearing snow?  Better yet, have you always wanted to drive a Zamboni? 

We're the Millrise ice crew and we maintain the ice through the winter. The good news is that we have machines to do the heavy work and the work is extremely rewarding when we see kids active and skating. We're always looking for new volunteers. In October each year we begin our fall tune-up and we generally begin making ice in late November; please plan on coming down early in the year and get acquainted with the work.
